Operational Policy
To ensure quality and safety group sizes are limited to a maximum of 15.
Due to the nature of the activities provided by Applecross Retreats (AR), it may sometimes be necessary to make changes to the planned itinerary and or destination at short notice. This may be due to factors such as: the weather, conditions underfoot or client ability. AR reserves the right to make changes to route choices and timings, as they see fit, in order to ensure a safe and enjoyable journey. AR will always seek to ensure a high-quality equivalent experience regardless of any changes made.

AR provides information on the website and at the time of booking in relation to the physical ability required for each activity. It is the client’s responsibility to ensure that they are suitably experienced and have the fitness and equipment required to complete their chosen journey. If a client is uncertain about whether they meet the requirements for a journey they should contact AR in advance of booking.

Clients should be aware that the AR activities take place in remote and wild places. There are no facilities such as toilets or cafes available on any of the journeys and clients should come prepared for this.
PHOTOGRAPHY

AR often take photos during events. These are solely for the use of AR for social media and promotional purposes, including print and online media. At the time of booking clients will be asked whether they are happy or not to be photographed and for their images to be used in this way. AR will respect clients’ choices and will inform others in the group should an individual not wish to be photographed.

PAYMENT
There are two ways to pay:
Full payment taken at the time of booking.

Three equal monthly instalments. This is only available if full payment will have been made by one month prior to your stay.
​
Both methods of payment include a non-refundable administration fee of £75.

CANCELLATION, REFUNDS & TRANSFERS
We are a very small business but we do try to be understanding of the need to cancel a booking.
​
Therefore, cancellations of more than 3 weeks prior to your stay will receive a 50% refund less the £75 administration fee OR a transfer to another retreat.
If you are no longer able to attend the date booked but do wish to attend at a later date, you will be offered the option to transfer your booking to another person or an alternative date (subject to availability) where the fee is the same as the one originally booked.
If you wish to move your booking to an alternative date and the fee is higher than originally paid, you will need to pay the balance.

Cancellations made less than 3 weeks prior to your stay are non-refundable.
If an event is cancelled by AR then the booking will be transferred to an alternative date or refunded in full, as per the client’s preference. AR reserves the right to cancel group events with less than 2 clients booked. In this instance the booking will be transferred to an alternative date or refunded in full, as per the client’s preference.

CORONAVIRUS
We understand that these are difficult times. We do suggest you take out travel insurance to cover you for last minute cancellation in the event of Covid-19.
If you have to make a cancellation due to Covid-19, and it is more than three weeks prior to your booking taking place, we will provide a 50% refund less the £75 administration fee OR offer a transfer to another retreat.

If you have to cancel your booking less than three weeks prior to the event taking place, you will incur the full price of the trip.

AR has a COVID-19 safety protocol in place which will be emailed to clients in advance of attendance and must be read and adhered to.
​
If you are unwell with symptoms of COVID-19 or have tested positive or been in contact with anyone with symptoms or have tested positive, all in the past 7 days prior to your stay, you must not attend.
​
If you develop symptoms or test positive within 7 days of attending an event or private booking you must inform AR.

PRIVACY POLICY
In line with normal operational procedure AR collects personal information about clients at the time of booking through the booking form. AR may also have details stored from email and other methods of communication. This is to ensure we can provide a safe service. This information is stored securely and will not be shared with any individual or organisation outside of AR, nor kept unduly. Please contact us should you not wish for your details to be stored in this way.
